East Africa DMC: How One Partner Handles 4 Countries for Travel Agents

Safari vehicles beside a wildebeest herd on a trip run by an East Africa DMC

An East Africa DMC is a destination management company that plans, books and operates trips across Kenya, Tanzania, Uganda and Rwanda for travel agents and tour operators. It gives you one contract, one invoice and one operations team for camps, vehicles, regional flights, park fees, gorilla permits and border logistics, so a multi-country safari runs as a single trip.

Sense of Adventure is a Nairobi-based ground operator licensed by Kenya’s Tourism Regulatory Authority (TRA1/47/C01/77087). We work with travel agents, tour operators, wholesalers and MICE planners on Kenya and Tanzania safaris, with Zanzibar, Uganda and Rwanda extensions. This guide explains what an East Africa DMC does, which routes sell, how borders, visas, park fees and permits work, how multi-country trips are priced and how to brief a partner. Our Kenya DMC for travel agents page sets out our trade services in full.

✅ East Africa DMC: The Quick Answer

  • What it is: one local partner that plans and operates trips across several East African countries for the trade.
  • Core countries: Kenya and Tanzania for safaris, with Zanzibar for beach, and Uganda and Rwanda for gorillas.
  • Why agents use one: one quote, one set of terms, one emergency line and no gaps at the borders.
  • What changes by country: entry rules, park fee systems, vehicles at the border and permit rules.
  • Lead times: gorilla permits and peak-season camps need the most notice, often 6 to 12 months.
  • Pricing: net or commissionable trade rates, usually in US dollars, with terms confirmed in writing.

What an East Africa DMC Does for Travel Agents

An East Africa DMC turns your client brief into a working multi-country trip and then runs it on the ground.

For a single-country safari, a local ground operator is enough. Once a trip crosses a border, the work grows: two or three park fee systems, separate entry rules, regional flights, a change of vehicle at land borders and permits that must be bought by name. An East Africa DMC holds all of that in one plan and one file.

  • Itinerary design: the order of countries, the number of nights and the fastest links between them.
  • Reservations: lodges and camps, light-aircraft and regional flight seats, activities and permits.
  • Ground handling: meet and greet, transfers, 4×4 vehicles, driver-guides and park entry.
  • Costing: one itemised quote that shows each country’s costs and fees.
  • Documents: vouchers and itineraries, white-label under your brand if you wish.
  • Operations: live updates and emergency support while your clients travel.

If you are still deciding what kind of partner you need, our guides to the Kenya DMC role and DMC vs tour operator vs ground handler explain the differences.

Which Countries an East Africa DMC Covers

Most trade itineraries combine Kenya with one or two neighbours, and each country plays a different role in the trip.

CountryMain gatewayWhat clients come forLink from Nairobi
KenyaNairobi JKIA and Wilson AirportMasai Mara, Amboseli, Laikipia, Samburu, coastBase of the trip
TanzaniaKilimanjaro or ArushaSerengeti, Ngorongoro Crater, TarangireShort flight, or road via Namanga
ZanzibarZanzibar airportBeach, Stone Town, spice toursDirect flight
RwandaKigaliMountain gorillas, golden monkeys, chimpsDirect flight
UgandaEntebbeGorillas in Bwindi, chimps, Murchison FallsDirect flight

Nairobi is the region’s main air hub, which is why many agents use a Kenyan East Africa DMC as the anchor. Clients land once at JKIA, start with the Kenyan parks and then fly on to a gorilla trek or a beach. Flight schedules and frequencies change by season, so the final routing your East Africa DMC proposes is always checked when you book.

Classic Multi-Country Routes Agents Sell

Four route types cover most multi-country requests, and each has its own timing and logistics.

Kenya and Tanzania with one East Africa DMC

The Masai Mara and the Serengeti are one ecosystem split by a border. A classic trip spends three nights in the Mara, crosses to northern Tanzania and adds the Serengeti and Ngorongoro Crater. Sample trips include the Kenya and Tanzania Classic Safari: Masai Mara and Serengeti and the Great Migration Safari Kenya and Tanzania. Before you sell Tanzania, read our honest note on whether Tanzania is safe for tourists.

Kenya plus gorillas in Rwanda or Uganda

Big cats in Kenya, then a short flight for a gorilla trek. Rwanda suits clients with little time, as Volcanoes National Park is a few hours’ drive from Kigali. Uganda suits clients who want chimps and a longer stay. See the Kenya and Rwanda Safari, the Gorillas and Savannah trip across Rwanda, Uganda and Kenya and our guide to gorilla trekking from Kenya.

Bush and beach with Zanzibar

Honeymooners and families often end a Kenya safari on Zanzibar. It adds one flight and a second set of entry rules, as Zanzibar is part of Tanzania. Examples are the Kenya and Zanzibar Honeymoon and the Kenya, Tanzania and Zanzibar Family Holiday.

Grand East Africa circuits

Longer trips of 14 days or more may combine three or four countries, and this is where an East Africa DMC adds the most value. These suit repeat Africa travellers and special-interest groups, but they need more lead time, more flights and a careful pace, so build in a rest day between countries.

Border Crossings and Regional Flights

An East Africa DMC links countries either by road through official border posts or by scheduled regional and light-aircraft flights, and the choice shapes both cost and comfort.

Road crossings

The busiest tourist crossing is Namanga, on the road between Nairobi and Arusha, which also links Amboseli with northern Tanzania. Allow about five to six hours from Nairobi to Arusha, including formalities. There is no open tourist crossing directly between the Masai Mara and the Serengeti, so trips either fly or use a longer road crossing further west. In practice, vehicles and guides usually change at the border, and each country’s park fees apply from the first gate.

Regional and light-aircraft flights

Nairobi has direct flights to Kilimanjaro, Zanzibar, Kigali and Entebbe, mostly one to two hours. Scheduled light aircraft from Wilson Airport serve the Kenyan parks. On light aircraft, clients usually travel with about 15 kg each in soft bags, so share our guide to choosing a safari duffel bag. Ask your East Africa DMC to time each flight against camp check-in and game-drive hours.

Expert tip from our Nairobi operations team: put the border day or the regional flight in the middle of the morning, not at dawn or dusk. A mid-morning crossing loses the least game-drive time and leaves a buffer if a flight is delayed or the border is busy.

Amboseli and northern Tanzania sit either side of Kilimanjaro, which makes the Namanga crossing a natural link on a two-country route.

Visas and Entry Rules Across East Africa

Each country runs its own entry system, so check every passport against every country on the route before you confirm the trip.

  • Kenya: most visitors need an approved Electronic Travel Authorisation from the official Kenya eTA portal, which says processing typically takes about three working days. Some nationalities are exempt for set periods. From 5 October 2026, most visitors also buy Kenya’s mandatory travel health insurance with the eTA, at USD 44 per traveller, with a policy for each child; a home policy cannot be uploaded or used instead.
  • Tanzania and Zanzibar: Tanzania issues its own visas, and Zanzibar has a separate inbound insurance rule. Check the official Tanzanian sources before travel.
  • Uganda and Rwanda: each issues its own visa. The East Africa Tourist Visa, which has covered Kenya, Uganda and Rwanda for 90 days, is still referred to by Uganda and Rwanda; confirm how Kenya handles it under the eTA system before you rely on it.
  • Health: some countries ask for a yellow fever certificate depending on the route, and some home countries require one on return. Advise clients to see a travel clinic early.

Government travel advice also matters to your duty of care. UK clients should read the FCDO travel advice for Kenya, and US clients the State Department advisory. A good East Africa DMC flags changes, but the final check of entry documents sits with the traveller and the selling agent.

Park Fees and Permits Across Four Countries

Park fees and permits are set by separate government bodies in each country, are passed through at cost and should appear as clear lines in every quote.

CountryWho sets the feesExample for 2026Quoting note
Kenya, national parksKenya Wildlife ServiceAmboseli USD 90 per non-resident adult per dayCharged per 24 hours
Kenya, Masai MaraNarok County and the Mara TriangleUSD 200 per non-resident adult per day, July to DecemberSeasonal rates; conservancies charge their own fees
TanzaniaTanzania National Parks and the Ngorongoro authorityPer-day fees plus VAT; Crater service fee per vehicleCheck the current tariff for each booking
RwandaRwanda Development BoardGorilla permit USD 1,500 per personNon-refundable; buy before flights
UgandaUganda Wildlife AuthorityGorilla permit USD 800 per personConfirm the tariff for late 2026 and 2027

Kenyan fees are published by Kenya Wildlife Service, while the Masai Mara follows Narok County’s tariff. Our guides to Kenya park fees for tour operators and the Masai Mara for travel agents explain how to count fee days. Fees can change at short notice, so your contract with any East Africa DMC should say how increases are handled after confirmation.

Expert tip from our Nairobi operations team: for gorilla extensions, confirm the permit first, then the flights, then the lodge. Permits are limited by date and issued by passport name, while flights and lodges are far easier to move.

How an East Africa DMC Prices Multi-Country Trips

An East Africa DMC prices a multi-country trip as one package built from each country’s costs, then applies your agreed trade model.

  1. Accommodation: camp and lodge rates for each country, by season.
  2. Transport: vehicles and guides on each side of the border.
  3. Flights: regional and light-aircraft seats, with luggage rules.
  4. Fees and permits: shown per person, at the current tariff.
  5. Extras: balloon flights, cultural visits, transfers and porters.
  6. Trade model: net rates for you to mark up, or commissionable rates.

Multi-country trips from an East Africa DMC are usually quoted in US dollars. Deposits are often higher than for a Kenya-only trip, because permits and some flights must be paid in full when booked. Terms vary by supplier, so read our guides to safari net rates vs commission and safari payment terms for travel agents. We never publish trade rates; we send current rates on request.

One East Africa DMC or Separate Local Suppliers?

One East Africa DMC suits most agencies selling multi-country trips, while separate suppliers suit high-volume operators with their own contracts in each country.

Whichever model you choose, check each partner’s licence. In Kenya, verify the operator with the Tourism Regulatory Authority and check membership claims with the Kenya Association of Tour Operators. Our checklist of 12 questions to ask a Kenya safari DMC works for regional partners too.

Operations and Emergency Support Across Borders

Good operations are the real test of an East Africa DMC on multi-country trips, because more flights and borders mean more points where plans can change.

  • One file: every booking, ticket and permit for the trip in one place.
  • Live updates: your agency hears about delays or changes in real time.
  • Handover briefings: guides on each side know arrival times and client needs.
  • Medical back-up: every Sense of Adventure safari includes complimentary AMREF Flying Doctors emergency evacuation cover, alongside the client’s own travel insurance.
  • Contingency: a plan B for each flight day, such as a later flight or a night in Nairobi.

Ask any East Africa DMC who answers the phone at night, how it reaches clients in remote camps and how it handles a missed regional flight. The answers tell you more than a brochure.

How to Brief an East Africa DMC

A complete brief lets an East Africa DMC check permits, flights and camps at once and return an accurate quote within a day.

  • Countries and order: which countries, in which order, and any must-see parks.
  • Dates: exact dates or a window, with international arrival and departure flights.
  • Travellers: numbers, ages, nationalities and room types.
  • Gorilla plans: how many permits, which country, and fitness notes.
  • Style and budget: lodge, tented camp or conservancy, road or fly-in.
  • Commercial terms: net or commissionable, currency and white-label needs.

Nationalities matter more to an East Africa DMC on regional trips because entry rules differ by passport and country. Our guide to getting a safari quote from a DMC includes a brief template you can copy.

East Africa DMC FAQs

What is an East Africa DMC?

An East Africa DMC is a destination management company that plans, books and operates trips across Kenya, Tanzania, Uganda and Rwanda for the travel trade. It handles camps, vehicles, flights, park fees, permits and border logistics, and gives your agency one quote, one contract and one emergency contact.

Can one DMC handle Kenya and Tanzania on the same trip?

Yes. A regional DMC plans both countries as one trip, books camps on each side, arranges the border crossing or flight and shows both park fee systems in one quote. Vehicles and guides usually change at land borders, and the DMC coordinates the handover.

How much notice do gorilla permits need?

Book as early as possible, often 6 to 12 months ahead for popular dates. Rwanda permits cost USD 1,500 per person and Uganda permits USD 800, and both are limited by day. Secure the permit first, then build flights and lodges around it.

Is there a direct road from the Masai Mara to the Serengeti?

There is no open tourist crossing directly between the two parks. Trips either fly via Nairobi and northern Tanzania or use a longer road crossing further west. Your East Africa DMC will suggest the best link for your dates, budget and luggage, and show the cost of each option.

Does the East Africa Tourist Visa still work?

The East Africa Tourist Visa has covered Kenya, Uganda and Rwanda for 90 days and is still referred to by Uganda and Rwanda. Kenya now uses an eTA system, so check the official portals for each passport before relying on it.

What currency are multi-country safaris quoted in?

Most trade quotes for East Africa are in US dollars, because camps, flights, park fees and permits are usually priced in dollars. Ask your East Africa DMC how bank charges are handled, when the rate is fixed and which costs, such as permits, are paid in full at booking.

Can an East Africa DMC work under my brand?

Many can. Sense of Adventure supplies white-label itineraries and documents under your agency name for Kenya, Tanzania and regional extensions, so your client sees your brand from quote to departure. Mention it in your first brief so documents arrive in the right format.
