JKIA Meet and Greet: Airport Handling for Tour Operators in 7 Steps

Travellers walking through a bright airport terminal, the first step of a JKIA meet and greet

JKIA meet and greet is an arrival service at Jomo Kenyatta International Airport in Nairobi, where a named representative of your ground operator meets your clients after immigration and baggage, helps with luggage and takes them to a private transfer. For tour operators, it is the first and most visible part of a Kenya trip.

Sense of Adventure is a Nairobi-based ground operator licensed by Kenya’s Tourism Regulatory Authority (TRA1/47/C01/77087). We provide meet and greet at JKIA and Wilson Airport for travel agents, tour operators and MICE planners as part of our ground handling, and our Kenya DMC for travel agents page explains how we work with the trade. This guide explains how a JKIA meet and greet works step by step, what to check about terminals and pick-up points, typical transfer times, delays and group arrivals, and what to send us before each arrival.

✅ JKIA Meet and Greet: The Quick Answer

  • What it is: a named greeter meets clients in the arrivals area, helps with bags and escorts them to a private vehicle.
  • Where: after immigration, baggage claim and customs at Jomo Kenyatta International Airport, about 18 km from central Nairobi.
  • Before landing: clients need an approved Kenya eTA and any required health documents; the greeter cannot help inside immigration.
  • Flight tracking: the ground team follows the flight, so early or late arrivals are still met.
  • Onward options: a Nairobi hotel, a transfer to Wilson Airport for a safari flight, or a direct road start to the parks.
  • Branding: greeters can hold a sign with your agency’s name for white-label trips.

What JKIA Meet and Greet Covers for Tour Operators

A JKIA meet and greet covers the whole handover from the airport building to the first night’s stay or the start of the safari.

  • Flight monitoring: the operations team tracks the arrival time on the day.
  • Named greeting: a representative waits at the agreed meeting point with a sign showing the client’s name or your agency’s brand.
  • Luggage help: assistance from the arrivals area to the vehicle.
  • Private transfer: a clean, insured vehicle with a professional English-speaking driver.
  • Welcome briefing: a short explanation of the next day’s plan, timings and contact numbers.
  • Local support: a working phone number for the Nairobi operations team from the moment clients land.

What a JKIA meet and greet usually does not include

A standard JKIA meet and greet starts in the public arrivals area. Airside escort, immigration fast-track and lounge access are separate airport services with their own rules and fees. If your client needs them, ask us early so we can check what is available for the date and flight, and price it separately.

For a full picture of ground handling, see our guides to the Kenya ground operator role and Kenya safari transport for tour operators.

How a JKIA Meet and Greet Works, Step by Step

A well-run JKIA meet and greet follows the same sequence for every arrival, so nothing depends on luck.

  1. Booking: you send flight details, names and the onward plan; we confirm in writing.
  2. 48 hours before: we re-confirm the flight, hotel and vehicle, and share the greeter’s details if requested.
  3. On the day: the operations team tracks the flight and sends the greeter in good time.
  4. Landing: clients clear immigration, collect bags and pass customs; this can take from under an hour to much longer at busy times.
  5. Meeting point: the greeter holds a named sign at the agreed spot in arrivals.
  6. Transfer: the driver loads bags, gives a short briefing and drives to the hotel, Wilson Airport or the first park.
  7. Handover: the team confirms to you that clients have arrived and checked in.

Expert tip from our Nairobi operations team: tell clients to switch on their phones and connect to the airport Wi-Fi as soon as they land. If queues are long or they cannot see the greeter, a quick message to the ground team solves the problem in minutes.

JKIA Terminals and Pick-Up Points: What to Check

JKIA is going through upgrades, so terminal use and pick-up arrangements can change, and every JKIA meet and greet should confirm them shortly before arrival.

International arrivals have been handled mainly through Terminal 1E and Terminal 1A, depending on the airline, with domestic flights using a separate terminal. In early 2026, local reports described plans to reorganise terminals and to keep private cars out of the main terminal forecourt, with authorised taxis allowed in and private vehicles using parking areas further away. Plans like these can change at short notice.

Checks before every JKIA meet and greet

  • Which terminal the flight is due to arrive at.
  • Where greeters and drivers are currently allowed to wait.
  • Whether the vehicle can reach the terminal kerb or must wait in a parking area.
  • How far clients will walk with luggage to the vehicle, and whether a trolley or porter is needed.

For official airport notices, check the Kenya Airports Authority. Our ground team checks current arrangements before each arrival, which is one reason a local JKIA meet and greet is worth more than a generic transfer booking.

Entry Requirements Clients Must Clear First

Clients must clear Kenyan immigration and customs on their own before any JKIA meet and greet can begin, so their documents need to be ready before they fly.

  • Kenya eTA: most visitors need an approved Electronic Travel Authorisation from the official Kenya eTA portal before departure.
  • Passport: valid for the trip, with blank pages, as required by the airline and Kenyan immigration.
  • Health insurance: Kenya requires inbound travel health insurance for most visitors; check the current rule before travel.
  • Yellow fever: a certificate may be required if clients arrive from or via a country with a risk of yellow fever.
  • Customs: drones, large amounts of cash and some medicines have their own rules; check before packing.

Rules change, so check official sources such as GOV.UK travel advice for Kenya or travel.state.gov for your clients’ nationality. Our yellow fever certificate guide explains the East African rules.

Transfers From JKIA: Hotels, Wilson Airport and Onward Flights

After a JKIA meet and greet, most clients go to a Nairobi hotel, to Wilson Airport for a safari flight or straight to the first park.

From JKIA toTypical timeNotes
Central Nairobi (about 18 km)15 to 20 minutes on the Nairobi Expressway off-peak; 30 to 60 minutes or more by roadExpressway is a toll road; rush hours are slower
Westlands and Upper Hill hotelsOften 25 to 45 minutesDepends on the time of day and route
Wilson AirportAllow at least an hour in trafficFor scheduled safari flights to the parks
Karen and LangataOften 45 to 75 minutesPopular for a quiet first night
Lake NaivashaAbout 2 to 3 hoursDirect start for road safaris
AmboseliAbout 4 to 5 hoursBest after a rest night for long-haul arrivals

These are typical JKIA meet and greet transfer times only; Nairobi traffic, roadworks and weather can change them. For clients arriving on overnight flights, a first night in Nairobi is usually kinder than a long drive to a park.

Our Kenya safari from Nairobi page shows how trips start from the city, and our Kenya safari itineraries for agents guide gives ready-made routes.

💬 Plan My Clients’ First Night📋 Ask About Arrival Options

Late-Night, Delayed and Lost-Luggage Arrivals

A good JKIA meet and greet plans for things going wrong, because late flights and missing bags are part of long-haul travel.

Late-night and early-morning arrivals

Many long-haul flights land late at night or early in the morning. For an early-morning JKIA meet and greet, book the hotel room from the night before, so clients can sleep straight away, and keep the first morning light.

Delays and missed connections

Because the team tracks the flight, a delay usually just means a later JKIA meet and greet pick-up. If a connection is missed and clients arrive the next day, we rearrange the transfer, hotel and safari start, and keep you informed in real time.

Lost luggage

If bags do not arrive, clients must report it at the airline’s baggage desk before leaving the hall. The greeter can wait and help with the paperwork, and the team can arrange delivery to the hotel or, where practical, to the safari camp once the bags arrive.

Expert tip from our Nairobi operations team: ask clients to pack one change of clothes, medicines and safari essentials in their hand luggage. If a bag is delayed, they can still start the safari comfortably while we chase it.

Group and MICE Arrivals at JKIA

A group JKIA meet and greet needs more planning than individual transfers, because one late bag or missing guest can hold up the whole group.

  • Manifest: share a passenger list with flight numbers, rooming and special needs at least a week before.
  • Split arrivals: if guests arrive on different flights, plan separate transfers rather than making early arrivals wait.
  • Vehicles: allow luggage space; groups often need a separate luggage vehicle.
  • Branding: event or company signs help guests find the team quickly.
  • Welcome extras: water, local SIM cards or welcome packs can be arranged in advance.

Our guides to Kenya group ground handling and Kenya incentive travel explain how we manage larger groups, and Magical Kenya has official destination information for event planners.

The Arrival Brief: What to Send Before a JKIA Meet and Greet

A complete arrival brief is the single best way to make a JKIA meet and greet run smoothly.

  1. Full names as on passports, and the lead passenger’s mobile number.
  2. Flight number, date and scheduled arrival time.
  3. Number of passengers and pieces of luggage, including large items such as golf bags or camera cases.
  4. Child ages and any child seat needs.
  5. Mobility needs or wheelchair assistance booked with the airline.
  6. First night’s hotel or onward flight time from Wilson Airport.
  7. Sign wording: client name, your agency’s brand or both.
  8. Your out-of-hours contact for urgent questions.

Our guide on how to request a safari quote from a DMC lists the details that speed up the whole booking, not just the arrival.

How JKIA Meet and Greet Is Priced

A JKIA meet and greet is usually priced per vehicle and route, not per person, and is often included in the land package.

The cost of a JKIA meet and greet depends on the vehicle type and size, the destination, the time of day and any waiting time or extra services such as airside assistance. For a full safari, airport arrival and departure transfers are normally part of the trade price. For transfer-only bookings, we quote separately.

We provide B2B net or commissionable rates, with terms confirmed in writing, and send quotations within 24 hours. We do not publish trade rates; request current trade rates through our B2B rates request form. Every Sense of Adventure safari also includes complimentary AMREF Flying Doctors emergency evacuation cover.

Wilson Airport Meet and Greet for Safari Flights

Many safaris continue from Wilson Airport, Nairobi’s light-aircraft hub, so the JKIA meet and greet often links straight to a second airport handover.

Scheduled safari flights from Wilson usually allow about 15 kg per person in soft bags, so explain luggage rules before travel and arrange storage in Nairobi for extra bags. We meet clients at Wilson too, help with check-in and confirm their camp transfer on landing.

Our transport guide for tour operators explains flight rules in more detail. You can browse ready-to-sell trips in our B2B trade partners portal, and check any partner’s licence with the Tourism Regulatory Authority.

Departure Transfers Back to JKIA

The last transfer matters as much as the first, so plan the return to JKIA with the same care as the JKIA meet and greet on arrival.

  • Timing: most airlines advise arriving about three hours before an international departure; add generous time for Nairobi traffic.
  • Day rooms: for late-night flights, book a day room or a late check-out so clients can shower and rest after the safari.
  • From Wilson: when clients fly back from a camp to Wilson Airport, leave a wide buffer before the international flight from JKIA.
  • Security checks: JKIA has security screening at the terminal entrance, which can add time at busy hours.
  • Last call: the driver confirms that clients have entered the terminal and reports back to the operations team.

Expert tip from our Nairobi operations team: plan departure transfers from the flight time backwards, not from the hotel check-out time forwards. Working back from the flight makes it obvious when a day room, an earlier lunch or a direct route is needed, and it is the simplest way to protect the end of a JKIA meet and greet programme.

JKIA Meet and Greet FAQs

What is a JKIA meet and greet?

It is an arrival service at Jomo Kenyatta International Airport where a named representative meets travellers after immigration, baggage claim and customs, helps with luggage and escorts them to a private vehicle. Tour operators use it so clients are met by a known local team from the moment they land.

Where do greeters wait at JKIA?

Greeters usually wait in the public arrivals area after customs, holding a sign with the client’s name or the agency’s brand. Terminal use and pick-up areas can change during airport works, so the ground team should confirm the exact meeting point shortly before each arrival.

Can a greeter help clients through immigration?

A standard meet and greet starts after immigration and customs, in the public arrivals area. Airside escort or fast-track services are separate airport services with their own rules and fees. Ask your ground operator early if a client needs them, so availability can be checked.

How long does it take to get from JKIA to Nairobi?

Central Nairobi is about 18 km from JKIA. Off-peak, the Nairobi Expressway can take 15 to 20 minutes; by ordinary roads it is often 30 to 60 minutes or longer in traffic. Allow extra time for Wilson Airport, Karen and evening rush hours.

What happens if the client’s flight is delayed?

The ground team tracks the flight and adjusts the pick-up time, so the greeter is there when clients come out. If clients miss a connection and arrive another day, the transfer, hotel and safari start are rearranged and the agent is kept informed.

Do clients need a Kenya eTA before landing at JKIA?

Most visitors need an approved Kenya Electronic Travel Authorisation before they fly, applied for on the official eTA portal. Airlines may check it at check-in. Rules and exemptions change, so confirm the current requirement for each client’s nationality before travel.

Is JKIA meet and greet included in a safari package?

For full safaris, airport arrival and departure transfers with meet and greet are normally included in the land price. Transfer-only bookings are quoted separately, usually per vehicle and route. Always check the inclusions list on the quotation.
